History and Context

Cooperativa de Electricidad Bariloche (CEB) was founded in 1957 by a group of residents of San Carlos de Bariloche who, faced with deficiencies in the existing electricity service, decided to establish a cooperative model to ensure a reliable energy supply for the community. Since then, CEB has accompanied the growth and transformation of the city, particularly the development of tourism in the region, through ongoing investments in infrastructure and the expansion of its services.

Over the years, the organization has evolved beyond electricity services and diversified its activities to meet the community’s changing needs.

Today, CEB provides services related to energy generation and distribution, sanitation, as well as social and business services, while maintaining a strong commitment to its members and the sustainable development of the region. Its vision combines innovation, efficiency, and quality with the principles of the social economy and the strong local connection that characterizes cooperative organizations.

Business Challenge

As part of the relationship between CEB and Ricoh, several opportunities for improvement were identified in document management, workspaces, and the printing of technical documentation.

One of the main challenges involved managing the organization’s incoming and outgoing correspondence. This process was handled through a legacy application with high internal maintenance costs, limited flexibility, and restricted capabilities for digitization, workflow management, and document management. As a result, CEB needed a solution that would allow it to digitize and optimize the process, both internally and in its interactions with government agencies and the community at large.

At the same time, CEB had meeting rooms that had become outdated in response to new collaboration needs. The rooms featured multiple cables and a cumbersome user experience, limiting the ability to introduce new functionality and facilitate both in-person and hybrid meetings.

In addition, the cooperative needed to print blueprints and technical documentation related to construction projects and electrical installations. Until then, these jobs had been outsourced, creating a dependency on external providers and increasing the time required to make documentation available.

RICOH Solution

Based on a comprehensive analysis of the organization’s needs, Ricoh developed a proposal aimed at modernizing different areas of CEB’s operations through a combination of solutions.

The implemented solution included:

  • 5 collaboration rooms, designed to modernize meeting spaces and provide a simpler, more integrated, and efficient work experience.
  • Gestor documental, to digitize and organize document management, enabling CEB to centralize information and automate workflows associated with incoming and outgoing correspondence. The solution enables documents to be captured, organized, and managed while automating processes and workflows.
  • 2 Ricoh IP CW2200 wide-format devices, designed for the in-house printing of blueprints and technical documentation. These devices are specifically designed for large-format applications such as blueprints, technical drawings, and CAD documentation.

Through this approach, Ricoh supported CEB with an integrated proposal that addressed multiple organizational needs, from information management and internal processes to the modernization of workspaces and the production of technical documentation.

Results

The implementation of Ricoh solutions enabled Cooperativa de Electricidad Bariloche to modernize various processes and workspaces:

  • Greater digitization and organization of correspondence management, reducing reliance on processes based exclusively on email.
  • More organized and traceable document processes, enabled by the implementation of a document management platform.
  • Modernization of 5 collaboration rooms, creating more functional spaces prepared for new work dynamics and hybrid meetings.
  • Greater autonomy in printing blueprints and technical documentation, reducing the need to outsource these jobs.
  • Faster access to technical documentation, particularly for projects involving construction and electrical installations.
  • A simpler and more efficient work experience, integrating technology and tools tailored to the cooperative’s specific needs.

CEB’s experience demonstrates how the strategic adoption of technology can generate improvements that go beyond a single process. Through an integrated approach, Ricoh supported the cooperative in transforming its workspaces, improving information management, and ensuring the availability of critical documentation for its operations.
