History and Context

Giuffrè Francis Lefebvre is one of Italy’s leading companies in the professional publishing sector. The company was established in 2018 through the merger of the long-established Giuffrè Editore publishing house and Memento Francis Lefebvre. It is part of the international Lefebvre Sarrut Group, which operates throughout Europe through eight subsidiaries and has more than 2,400 employees.

Its products are designed for professionals in the legal, tax, labor, and business sectors and include high-quality tools, management software, and IT solutions based on reliable sources and recognized methodologies. The company’s distinguishing characteristics are excellence, a strong focus on innovation, and the ability to support professionals at every stage of their work.

"We wanted to create a truly accessible work environment that could improve the individual experience and ensure that this improvement was clearly perceived by employees," says Carlotta Uttini, Demand Manager at Giuffrè Francis Lefebvre.

Business Challenge

In September 2023, Giuffrè Francis Lefebvre moved to a state-of-the-art facility located on Via Monte Rosa in Milan. The move represented an opportunity to introduce a new way of working centered on the employee experience, with the goal of creating an environment where people would feel engaged, creatively stimulated, and able to collaborate truly effectively.

"When designing the new spaces, one of our goals was to support hybrid work, for example by improving communication between those working in the office and colleagues working remotely. We therefore needed to rethink our approach to workspaces to promote collaboration and increase employee satisfaction," explains Carlotta Uttini.

RICOH Solution

"We turned to Ricoh Italy, which was already our print services provider. We involved Ricoh from the early stages of the new headquarters project, and this was essential to properly integrate the spaces and technologies," explains Carlotta Uttini.

Ricoh worked closely with all the stakeholders involved, including Giuffrè Francis Lefebvre’s IT, Facilities, and Human Resources departments, as well as the architects and designers responsible for the renovation.

"It was a major change, and being able to rely on the expertise of our technology partner enabled us to create a workplace that perfectly addressed all our needs and requirements. Ricoh professionals carried out system integration work to ensure that the new environment also incorporated some of the solutions we were already using, allowing us to protect our previous investments," adds Uttini.

The project resulted in 14 rooms of different sizes, ranging from small meeting rooms for two or three people equipped with monitors and videoconferencing systems, to large training rooms featuring building automation systems, advanced collaboration tools, interactive whiteboards and audiovisual systems with ceiling-mounted microphones and cameras. In addition to these rooms, the facility includes an executive meeting room, a large auditorium that serves as a true digital hub, and spaces suitable for both internal and external events.

"We wanted to create a truly accessible work environment capable of improving the individual experience. The decision to also use RICOH Spaces reflects this approach," says Carlotta Uttini.

RICOH Spaces is a cloud-based solution that allows users to book desks, meeting rooms, and parking spaces, and manage everything quickly and easily through a mobile app. A visitor management feature was also implemented, helping improve the experience for company visitors while streamlining the check-in process at reception.

One of the aspects most valued by the company was the ability to leverage Ricoh Capital’s financial services. This enabled Giuffrè Francis Lefebvre to avoid a significant upfront investment, spread costs over time, streamline administrative processes through a single invoice covering hardware, software, and services, and extend financing to include the print technologies that were part of the previous contract.

Results

Giuffrè Francis Lefebvre successfully opened a new workplace in Milan designed to support hybrid work, improve communication between in-office and remote teams, and deliver an enhanced experience for both employees and visitors through a combination of newly equipped rooms, RICOH Spaces, and visitor management.

The financial support provided by Ricoh Capital also enabled the company to move forward with the project without a significant upfront investment, while simplifying administration through a single invoice covering hardware, software, services, and the print technologies already under contract.
